AbstractAnnotating documents is a very common activity among readers and authors because comments and ideas can be recorded in specific contexts and therefore provides easy reference. With the development of Web based digital annotation systems, the limitations that are encountered in annotating paper based documents have been overcome because annotations on digital documents are easily shared with other users thus enabling asynchronous collaboration. This study explores three Web based digital annotation systems (A Collab, Gibeo.net and OurWeb) that support asynchronous collaborative activities. It attempts to study the strengths and weaknesses of these systems and offer possibilities for improved functionalities. Based on the findings of this study, a prototype system is proposed that facilitates added features and functionalities. The proposed system supports annotation of both Web based documents found on the Web as well as documents uploaded by users of the system. To facilitate improved collaboration, both in-context annotation and threaded discussions are supported with access control to regulate viewing and editing. An e-mail notification system is also proposed to inform users of new annotations and document changes.
